Planning a youth football tournament abroad: a timeline for academies

From choosing the event nine months out to the parents' meeting in the last week: what to do when, so nothing is left for the airport.

Most problems on a tournament trip start months earlier: a place not confirmed in time, a passport that expired, a consent form nobody collected. This timeline is the order we recommend to academies; adjust it to your country's rules and your club's own processes.

Nine to six months before: choose and apply

Decide which squads will travel and what you want from the trip: competition, visibility or team building. Shortlist tournaments by level, age group and dates, ask the organisers for last year's participants and an itemised quote, and agree the budget with your board and the parents. Popular Easter and summer events fill early, so apply as soon as you have decided.

Six to four months before: confirm and book

Pay the deposit that secures your place, then book flights or coaches and the accommodation, often through the tournament's own package. Check every passport and ID card now, because renewals can take weeks. Set up a payment plan for families, and decide how many staff travel, following your national association's and the tournament's guidance on supervision of minors.

Three months to one month before: documents and details

Collect, for every player, signed parental consent for the trip and for emergency medical treatment, medical information and two emergency contacts. Confirm insurance that covers playing matches abroad. Send the organiser the player list with dates of birth and any proof of registration it asks for, and check whether your national association needs to be told that a team is playing abroad.

The last month: plan the trip

Hold a meeting for players and parents: the schedule, kit, money, phones, house rules and who to call. Plan meals and rest around the kick-off times, pack a medical kit, and share the full itinerary with the club.

After the tournament

Review the match footage and each player's minutes, thank the organiser, and note what to change next time. A short report to parents and sponsors makes the next trip easier to fund.
